Checklist guide — what each question means

A friendly walkthrough for store managers and IT. Use the menu to jump to any step. Keep the fillable worksheet open in another tab if you like.

How to use this guide

Each step below matches a section on the worksheet. For every question you will see:

  • What we need — the answer or choice to write down
  • What it means — why we ask, in everyday language

You do not need to be an IT expert. If a question is for IT only, we say so. “Not sure” is a fine answer — we can decide together on a pilot call.

1 Your brand & business

Who you are online, how many doors you run, and how tightly stores should share one system.

Usually answered by: Brand owner or general manager (IT helps with domains).

What brand name should shoppers see?

What we need The trading name on the site and emails — e.g. “Acme Markets.”

What it means This is your public face. Shoppers should recognize it as your store, not a marketplace.

Preferred short web name for your store finder

What we need A short code with letters/numbers only — e.g. acme-markets (no spaces).

What it means Used in a simple web path so people can find your stores (like /g/acme-markets/). Easy to say and type.

How many stores at launch? In about 12 months?

What we need Two numbers: doors on day one, and a rough 12‑month goal.

What it means Helps us size hosting and training. Starting with one door is normal and smart.

Share one system, or each store its own?

What we need Choose A (share), B (separate), or C (not sure).

What it means Shared = one place for HQ to compare stores (usual). Separate = each door more independent. We can recommend if you pick C.

Which public website addresses will shoppers use?

What we need Your domains — brand.com, www, maybe 1042.brand.com.

What it means Where people will type or click to reach you. IT uses this for DNS setup later.

Email for the first brand-owner admin invite

What we need One work email that will own the brand in StoreTempo.

What it means That person gets the first “keys” to invite managers and set branding.

Do you also need staff shift checklists / schedules / clock-in?

What we need StoreTempo only, DutySeal only, or both together.

What it means StoreTempo = shoppers + maps + Concierge. DutySeal is a separate product for staff shifts, daily checklists, and schedules. Many stores use both; say if you only need shopping tools now. See what DutySeal is →

Who handles website domain settings and server access?

What we need A name/role, or “StoreTempo to advise.”

What it means Someone who can change DNS or hosting when it is time. If that is not you, just point to who it is.

Should this install be private to your brand only?

What we need Usually “Yes.”

What it means Your server and data stay locked to your brand — not mixed with other companies.

What would “success” look like after the first month?

What we need A short plain goal — e.g. map used in-store, flyer live, Concierge picking paid orders.

What it means Keeps the pilot focused on outcomes you care about, not a giant wishlist.

2 Your stores & day-to-day

Which doors launch first, how store sites look, and who runs the day-to-day.

Usually answered by: Operations / store managers.

List launch stores

What we need Name, address, phone, email for each door in the first wave.

What it means We create each store site from this list. One soft-launch store is enough to start.

Store #2+: start blank, or copy a template store?

What we need Blank, or copy — and which store is the template.

What it means Copying can reuse map layout and look-and-feel. Weekly flyers are not copied; each store publishes its own.

How should each store’s web address look?

What we need Path (brand.com/stores/1042), subdomain (1042.brand.com), or mix.

What it means Just the style shoppers will see. IT wires DNS to match.

Where do store hours come from, and who updates them?

What we need Source + owner (e.g. “manager updates in StoreTempo”).

What it means Hours show on the store site. Someone needs a clear job to keep them accurate.

Who runs the app day to day?

What we need HQ, store managers, or both.

What it means Tells us who to train first and who gets which alerts.

Email for “needs attention” alerts per store

What we need One inbox (or pattern) that should get ops alerts.

What it means So problems like stuck orders do not sit unseen.

First: staff picking, or shoppers walking with a map?

What we need Concierge pick, in-store assist, or both.

What it means Same map either way — this is which experience you turn on first.

Any remodel or new floor plan in the next 90 days?

What we need Yes or no + timing.

What it means Remodels mean map updates. Better to plan that before go-live if you can.

Who owns time zone and holiday hours?

What we need Name or role.

What it means Pickup timing and “open/closed” depend on correct time zone and holidays.

3 Products on the floor

How names, prices, and aisle locations get into StoreTempo.

Usually answered by: Merchandising + IT (for POS/CSV).

Where will the product list come from at go-live?

What we need Spreadsheet, register file, automatic link, or spreadsheet first then register later.

What it means A spreadsheet is a great pilot start. Longer term, the register usually keeps prices and stock freshest.

Does every sellable item have a stable barcode?

What we need Yes / mostly / no — plus notes.

What it means Barcodes help match items between StoreTempo and your register. Gaps are OK if you note them.

Do you track aisle / side / shelf today?

What we need Full locations, partial, or names/prices only.

What it means Helps us place items when we build your map. Aisle text alone is enough to start.

Which popular items should we pin first?

What we need A short list (or “aisle text only for now”), marked on the simple markup map.

What it means You mark “product pin here” with simple icons on a blank map we give you. StoreTempo places the real pins — you do not edit the live map.

Product photos plan and about how many products?

What we need Photos approach + rough SKU count for store one.

What it means Sets expectations for catalog work. Photos can come in waves.

Same product list for all stores, or different per store?

What we need Shared assortment vs local differences.

What it means Affects how we copy catalogs when you add doors.

Who may mark an item out of stock by hand?

What we need Role(s) allowed to override.

What it means A short safety valve when the feed is late — not inventing register quantities.

4 Store map & shopping paths

You mark locations on a simple blank map. StoreTempo builds the live shopper map — paths, nodes, and pins stay in-house for quality and consistency.

Usually answered by: Store manager marks landmarks on our markup map; StoreTempo builds and maintains the finished map.

Usable floor-plan picture for each launch store?

What we need Yes/no + what you have (PDF, photo, CAD export).

What it means Background for the map we build. Clearer image = faster, more accurate work.

Who will mark landmarks on the simple markup map?

What we need Name/role who knows the floor (usually the store manager).

What it means We give you a blank map with simple icons (entrance, checkout, pickup, product pin, and so on). You place those markers so we know what to build. You do not get map-editing tools for paths, nodes, or live pins — that stays with StoreTempo.

Confirm landmarks to mark for us

What we need Entrance, checkout, pickup/service counter, plus any must-pin products or zones.

What it means Those marks are our build checklist. We turn them into efficient walking paths and accurate pins.

Map build & change fee — understood?

What we need Yes: first map included in setup; major layout changes are a small change fee (typically 1–3 hours to produce).

What it means Map quality stays our job — built into your setup cost. Remodels or big moves mean a paid map update instead of training every store on a map editor.

Do stores share the same layout?

What we need Copyable layout vs unique per door.

What it means Shared layouts save time when we open store #2 for you.

Launch priority: self-guided, staff pick, or both?

What we need Which experience to polish first.

What it means Same map either way — this is where training energy goes first.

Any remodel that would need a new map?

What we need Yes/no + timing, plus restricted areas or multi-floor notes.

What it means Tell us early. A new floor picture and markup pass lets us rebuild accurately under the map change fee.

5 Register, stock & sync

How prices and stock move between your cash register and StoreTempo.

Usually answered by: IT / POS vendor (managers can answer “not yet”).

What cash register system do you use?

What we need Name and version if known (Square, Clover, legacy…).

What it means Tells us which bridge options fit. A morning CSV still works for a calm pilot.

How will you send the product list into StoreTempo?

What we need Scheduled file, SFTP, automatic push, or manual upload.

What it means Inbound = how fresh the catalog stays. Manual is fine while you learn.

Should paid staff-pick sales go back to the register?

What we need Sales file, automatic notice, or not needed yet.

What it means Optional at launch. Turning it on later still keeps inventory honest when you are ready.

Who owns the register link? How often should it update?

What we need Owner + cadence (e.g. every 15 minutes).

What it means Clear ownership avoids “nobody ran the feed.”

OK if register regular price wins, flyer sale on top?

What we need Yes / discuss.

What it means Usual model: POS has base price; weekly flyer overlays sale prices in StoreTempo.

Can the register export on-hand / in-stock flags?

What we need Yes / no / unsure.

What it means Helps show availability. If not, managers can mark items unavailable during pick.

OK to start with a test feed, native links later?

What we need Yes / prefer native now.

What it means Lab/test feeds prove the loop before investing in a full POS connector.

6 Shopper experience

Website vs app, which journeys matter first, and who can sign up.

Usually answered by: Marketing + store leadership.

At launch, shoppers use website, phone app, or both?

What we need Your channel choice.

What it means Web is enough for many pilots. App can follow.

Which journeys matter most first?

What we need e.g. browse → list → map, flyer → list, and/or Concierge pick.

What it means We polish the path you will actually promote in month one.

Who sends shopper texts/emails (order ready, etc.)?

What we need StoreTempo default vs your own tools.

What it means So “order ready” messages come from a voice shoppers trust.

Store finder on? Soft launch or open signup?

What we need Invite-only vs open to the public.

What it means Soft launch = friends and staff first. Safer while you practice.

Login/cookies checked across store web addresses? (IT)

What we need Yes / no / IT to confirm — or skip if one site only.

What it means Only matters if shoppers hop between store subdomains and should stay signed in.

7 Store loyalty (passthrough)

StoreTempo does not offer a rewards program. If your store already has one, we can let shoppers use it when they check out through StoreTempo. If you do not, there is nothing to turn on.

Usually answered by: Owner / marketing — check off per brand or store.

Does this store already have a loyalty / rewards program?

What we need Yes or No — option to check off per customer.

What it means Simple on/off. We do not invent points, punch cards, or tiers for you.

If yes: which program, and how do shoppers identify themselves?

What we need Program name + phone / card / account method — or N/A.

What it means We pass through what you already run. Your program stays the source of truth; StoreTempo just lets shoppers use it.

Loyalty only when checkout is through StoreTempo?

What we need Yes (required for passthrough).

What it means Shoppers use your rewards when they pay in StoreTempo (for example Concierge pickup). There is no separate StoreTempo rewards club.

If no program today: discuss building one later?

What we need Not now / future conversation.

What it means Fine to skip. Launch without loyalty. Starting a brand-new rewards program is a later talk — not part of standard StoreTempo.

8 Weekly flyer / promos

How your circular gets published on the store site.

Usually answered by: Marketing / store manager who owns the flyer.

How do you create the weekly circular today?

What we need Short description of today’s process.

What it means We fit StoreTempo to your rhythm instead of forcing a new one overnight.

Use StoreTempo flyer tools? Cover image or PDF?

What we need Yes + format preference.

What it means Flyer items can drive lists; a cover or PDF can sit on the home page.

Who publishes each week? Same flyer everywhere?

What we need Publisher + shared vs per-store.

What it means Clear ownership so Tuesday’s deals are not late.

Understood: copying a template store does not copy flyers?

What we need Acknowledgement.

What it means Each store publishes its own week — avoids wrong prices on the wrong door.

Will the first flyer be ready before public launch?

What we need Yes / date / soft launch without flyer.

What it means Nice to have for launch day; not required to test maps and Concierge.

9 Checkout, Concierge & pickup

How shoppers finish: walk with the map, Concierge pick, and how they pay.

Usually answered by: Ops + finance (card account).

At launch, shoppers will self-shop, staff pick, or both?

What we need A / B / C on the worksheet.

What it means One store map, two jobs — pick the mix you will support on day one.

For staff-picked orders, how do shoppers pay?

What we need Card online (Stripe), pay at store, both, or demo only.

What it means Live Concierge should use card hold so labor starts on paid orders. Pay-at-store is for lab/edge cases, not the default live path.

If the card processor is down, accept pay at store?

What we need Yes / card only / discuss.

What it means A backup plan so pickups can continue during an outage if you want that flexibility.

Card payments: one account for the chain or per store?

What we need Structure + currency notes.

What it means Money should land where you expect. Per-store Stripe is common for multi-door brands.

Pickup timing message OK? Unpaid card orders stay out of the pick queue?

What we need Agreement / wording notes.

What it means Protects payroll: Concierges only work orders that already authorized.

After pickup: sale to register? Substitutes process?

What we need Your ops preference.

What it means How stock updates and how “ask me first” substitutes are handled with the shopper.

Delivery?

What we need Acknowledge not supported for this pilot path.

What it means Contact info is for pickup. Keeps the first launch focused and reliable.

10 People & access

Who gets which login and how you remove access when someone leaves.

Usually answered by: HR / store director + IT.

Who should have which role?

What we need Name → role (owner, manager, Concierge/staff) → store(s).

What it means Right people see pick queue and brand settings. Map building stays with StoreTempo — no customer map-editor login.

Who holds main system admin access?

What we need StoreTempo/host vs your IT.

What it means Who can change deep server settings if something breaks.

How many pickers at peak? Who handles “needs attention”?

What we need Rough headcount + escalation inbox.

What it means Staffing and who unblocks stuck orders.

Who may mark products temporarily out of stock?

What we need Managers only, managers+staff, or HQ only.

What it means A short override when the feed is wrong — audited, not a permanent inventory rewrite.

DutySeal logins / single sign-on?

What we need Separate logins OK, or need SSO later — or N/A if StoreTempo only.

What it means Only if you also use DutySeal. Today is email + password. SSO can be a later project if required. About DutySeal →

How do you remove access when a manager leaves?
